Events Overview
The Events feature allows users to come together online or in person to share experiences and ideas and build connections. Events can be specific to groups or accessible to all users in the portal.
The Track Attendance feature allows Event creators to track attendance at Events. Using a toggle, Event creators can allow checking-in for an Event. This feature allows Event creators to choose when attendees can check in to an Event and even gives Event creators the ability to enable a Dynamic Check-in QR Code.

Enable Attendance Tracking
"Group" > Create Event > Track Attendance
1. Navigate to a specific Group.
2. Select Create Event in the upper right-hand corner.
3. Enter the Event name, date and time, and additional details.
4. Scroll down within the Event details to Track Attendance.
5. Use the toggle under Track Attendance to enable attendance tracking.

Select Check-in Options
"Group" > Create Event > Track Attendance
After enabling Track Attendance, Event creators can choose between an Open check-in or check-in with the start of the event.
Open Check-in
1. Select the drop-down arrow under Open check-in.
Check-in times vary from 30 minutes to 24 hours.

Check-in with Start of the Event
1. Select with the start of the event.

Dynamic Check-in QR Code (For in-person events only)
The Dynamic Check-in QR Code feature allows Event creators to provide attendees with a QR code for access to an Event.
Enable the Dynamic Check-in QR Code
"Group" > Create Event > Track Attendance
1. Use the toggle next to the Dynamic check-in code in the Track Attendance section of the Event details.

2. Select Create Event in the lower right-hand corner to create the Event and save these changes made to the Event details.

Retrieve the Dynamic Check-in QR Code
"Group" > Events > "Event"
Once the Event is created, only the Event creator can retrieve the Check-in QR Code.
1. Navigate to the specific Group.
2. Click the Events tab in the group.
3. Click on the Event created with the attendance tracking enabled.
4. Click the link provided under Check-in code.
After clicking on the Check-in code link, the QR code will open in a new browser tab. The Check-in QR Code provides important information:
- Name of the event
- Check-in QR code
- 6-digit passcode (numbers and letters)
- Progress circle (depicts how much time remains before the code will change)
- Directions for accessing the Event code

Dynamic Check-in QR Code
Because the Dynamic Check-in QR Code changes every 20 seconds, Event creators must share the QR code with Event attendees at the time of the Event. The countdown for a valid code is indicated by the progress circle below the 6-digit code.
It is recommended to only use the Dynamic Check-in QR Code for in-person Events.

Use the QR Code 6-digit Passcode to Check In
"Event" > Check-in
An Event attendee may choose not to scan the Check-in QR Code. Instead, an Event attendee may enter the 6-digit passcode provided below the Check-in QR Code.
1. Navigate to the specific Event.
2. Select Check-in.

3. Enter the 6-digit passcode provided by the Event creator.

4. Click Submit.
Successful completion of passcode entry and check-in will be indicated by the green “Checked in” button.

Manage Attendee Absence
"Event" > Check-in
If an Event attendee is unable to attend an Event, the Event attendee may select Absent and provide a reason from the list of options in the drop-down menu.


Manage Attendance
"Group" > Events > "Event"
Managing attendance provides the Event creator the attendance status for each Event attendee.
1. Navigate to the specific Group.
2. Select Events below the group banner.
3. Click on the Event created with the attendance tracking enabled.
4. Click on View # Event Attendees.

A list of attendees will display indicating the attendance status of each attendee.


Attendee list shows check-in status in ascending order beginning with the most recent check-in. Attendee list also displays full date & time with check-in time mouseover.
An Event creator can change the status of an attendee by clicking on the calendar icon and choosing a different status indicator.

View and Download Attendance
"Group" > Events > "Event"
Event creators can also view and download the Event attendance status for external use.
1. Navigate to the specific Group.
2. Select Events below the group banner.
3. Click on the Event created the attendance tracking enabled.
4. Click on the Ellipses icon in the upper right-hand corner and select Download Attendees.

The Event attendance status will download as a CSV file.
The CSV file contains all attendance information:
- Attendee's email
- Attendee's full name
- Campus
- Course
- Check-in status
- Check-in time
- Absence reason
