Permission Overview
Schools now have the ability to allow non-portal admin users to impersonate users.
This feature would be beneficial for support schools that rely on help desks or staff support to help troubleshoot portal issues and questions and need to verify the issue the user is experiencing.
Assigning the Impersonation Role
Schools can assign the “Can impersonate other users” permission to an individual user, or to a role.
To do so, go to Admin Center> Users & Roles> Choose a user or role to edit. While editing the user account or role in the Admin Center, scroll down to the bottom of the screen to the “Add Permissions” section and click on the button:
From there, search for the Impersonate other users permission and check the’ can impersonate others’ box, click add on the prompt. Then click save changes on the original page.
When the user who has been granted this permission logs into the portal, they will see an “Impersonate User” button in the bottom left corner of the user profile that they want to impersonate.
This permission will only allow the user to impersonate another user if that user is also a non-Portal Admin. Additionally, A user cannot impersonate anyone who has a permission they don't have. Anyone that has been formally set up as a Portal Admin User by having the toggle enabled in their user account in the Admin Center can not be impersonated.
Hiding User Data
Prior to assigning the ‘can impersonate others’ permission, you may want to consider hiding content in widgets. Especially, if the content is sensitive and your school does not want these users to be able to see that data while in impersonation mode.
To hide the data, Portal Admins will need to go to the Admin Center > click the Integrations and Widgets section. From there, click on the pencil icon next to a widget and make sure the toggle field in the “Hide widget content in impersonation mode” field is enabled. This will ensure that a user impersonating another user will not be able to see the content of this widget.
Please Note: This is a universal setting, so this will affect users who have been given this permission as well as Portal Admins. Once enabled, the user will be able to still see the widget, but they will see a message that reads “This content is not available while impersonating users.”
